How To Convert Items and Send Inventory To WFS

The Complete WFS Setup Guide: Convert, Ship, and Profit

Walmart Fulfillment Services (WFS) is a game-changer for sellers ready to scale. Instead of hand-packing orders from your garage (or paying a 3PL), you send inventory to Walmart's fulfillment centers. They pick, pack, and ship. You get the "Fulfilled by Walmart" badge and 2-day shipping eligibility.

But the setup can be confusing if you've only sold through Merchant Fulfilled or used FBA on Amazon. This guide walks you through the exact steps: converting items to WFS, creating shipping plans, prepping your inventory, and sending it to Walmart's fulfillment centers.

Before You Start: WFS Eligibility & Prerequisites

Do You Qualify for WFS?

Most sellers can use WFS, but a few restrictions apply:

You can use WFS if you:

  • Have an active Walmart seller account in good standing
  • Sell items that meet Walmart's category/listing standards
  • Can ship inventory to a Walmart fulfillment center (2-3 week lead time)

You CANNOT use WFS for:

  • Items restricted by Walmart (weapons, hazardous materials, etc.)
  • Items with special handling requirements (fragile items may have limitations)
  • Extremely oversized items (anything requiring special freight)
  • Items you don't currently own (you must have inventory before converting)

What You'll Need

  1. Access to your Walmart Seller Center
  2. Inventory ready to ship (you must have physical items)
  3. Accurate product dimensions and weight (required for WFS categorization)
  4. Valid barcodes or SKUs (UPC codes preferred; Walmart will assign if you don't have them)
  5. Shipping account (UPS, FedEx, or LTL carrier for bulk shipments)
  6. Time (2-3 weeks from planning to first inventory received)

Step 1: Convert Your Items to WFS-Ready Status

Understanding the Conversion Process

Converting items from Merchant Fulfilled to WFS means:

  • Your listings will be fulfilled by Walmart (not you)
  • You won't handle shipping
  • Your items will need WFS-specific metadata (dimensions, weight, barcodes)

How to Convert Items in Seller Center

1. Go to Inventory → Manage Inventory

In your Walmart Seller Center, navigate to the Inventory section and select "Manage Inventory." You'll see all your active listings.

2. Select items to convert

You can convert items individually or in bulk:

  • Individual: Click on a single item, then select "Convert to WFS"
  • Bulk: Use CSV bulk upload (recommended if converting 50+ items)

3. Add WFS-Required Information

For each item, you'll need to provide:

FieldWhat It IsExample
DimensionsLength × Width × Height (in inches)12 × 8 × 4
WeightItem weight in lbs (including packaging)2.5 lbs
UPC/BarcodeUnique product identifier012345678901
GTINGlobal Trade Item Number (usually same as UPC)012345678901
Item TypeCategory (book, apparel, electronics, etc.)Electronics
Fulfillment TypeShould be "WFS"WFS

Why these matter:

  • Dimensions & weight determine which fulfillment center can store your item and how shipping costs are calculated
  • Barcodes help Walmart's system track your inventory through receiving and fulfillment
  • Item type determines category-specific WFS fees and handling

4. Verify Information

Before submitting, review all information for accuracy. Mistakes here can slow down receiving at the fulfillment center.

Step 2: Create a Shipping Plan

What's a Shipping Plan?

A shipping plan is your "purchase order" to Walmart. You're telling Walmart:

  • Which items you're sending
  • How many units of each
  • When you expect to ship
  • Which fulfillment center to send to

Walmart creates an inbound shipment ID and provides you with a fulfillment center address.

How to Create a Shipping Plan

1. Go to Fulfillment → Shipping Plans

In your Seller Center, select Fulfillment section and look for "Shipping Plans" or "Inbound Shipments."

2. Click "Create New Shipping Plan"

You'll see a form asking:

  • Shipping Method: LTL (Less Than Truckload), UPS, FedEx, or USPS (for small shipments)
  • Fulfillment Center: Walmart will suggest the closest center to your location
  • Ship Date: When you plan to ship (usually 3-7 days out to allow for packing time)

3. Add Items to the Shipping Plan

  • Select items you converted in Step 1
  • Specify quantities for each item
  • Review the total weight and cubic footage

Example:

  • Item A (converted): 100 units
  • Item B (converted): 50 units
  • Total weight: 250 lbs
  • Total cubic feet: 15 cf

4. Review Shipping Recommendation

Walmart will recommend a shipping method based on weight and distance:

  • Small shipments (<100 lbs): UPS/FedEx
  • Medium shipments (100-500 lbs): LTL carrier (YRC, XPO, etc.)
  • Large shipments (500+ lbs): Full pallet LTL or freight

5. Generate Inbound Shipment ID

Once you confirm the plan, Walmart generates:

  • Inbound Shipment ID (e.g., WFS-00123456)
  • Fulfillment Center Address (where to ship your boxes)
  • Expected Arrival Window (usually 5-10 business days after shipment)

Save this information. You'll need it for packing and shipping.

Step 3: Prep Your Inventory

Physical Preparation

Before shipping to Walmart, your inventory must be prepped:

1. Quality Check

  • Inspect items for damage or defects
  • Remove any that don't meet standards
  • Test electronics if applicable

2. Labeling

  • Each item needs a barcode or UPC label
  • Labels should be scannable (no folds or damage)
  • Place labels on the item itself or packaging

3. Packaging for Shipment

  • Use boxes that protect items during transit
  • Don't oversell boxes (Walmart scans each unit)
  • Keep boxes under 50 lbs each (Walmart weight limit per box)
  • Use packing tape securely

4. Box Labeling

  • Each box gets a label with:
  • Inbound Shipment ID (from Step 2)
  • Box number (Box 1 of 12, etc.)
  • Barcode (Walmart provides in shipping plan)
  • Clearly visible on the top and side of each box

Documentation

You'll need:

  • Packing list (what's in each box; Walmart provides template)
  • Shipment summary (total units, total weight)
  • Proof of shipment (carrier receipt with tracking)

Step 4: Ship to Walmart's Fulfillment Center

Selecting a Carrier

Based on your shipment size, choose:

UPS/FedEx (Small shipments, <100 lbs):

  • One-time pickup or drop-off
  • Typically 3-5 days transit
  • Cost: ~$20-$50 depending on weight/distance
  • Best for: Sellers with small initial shipments

LTL Carrier (Medium shipments, 100-500 lbs):

  • Consolidates shipments (sharing truck space)
  • Typically 3-7 days transit
  • Cost: $50-$300+ depending on distance/weight
  • Popular carriers: YRC, XPO, ArcBest, Old Dominion
  • Best for: Standard shipments (most WFS sellers)

Freight LTL (Large shipments, 500+ lbs):

  • Full pallet or multiple pallets
  • Typically 3-7 days transit
  • Cost: $300-$1000+ depending on distance/weight
  • Best for: High-volume sellers sending regular shipments

How to Ship

1. Schedule Pickup

  • Contact your carrier 2-3 days before your ship date
  • Provide inbound shipment ID and box count
  • Confirm time and location

2. Generate Shipping Label

  • Most carriers provide online labels
  • Include Walmart's fulfillment center address
  • Attach label to the outside of your shipment

3. Ship Your Boxes

  • Hand off to carrier or arrange pickup
  • Get tracking number and receipt
  • Keep proof of shipment

4. Update Walmart

  • Go back to your Shipping Plan
  • Upload carrier tracking number
  • Walmart updates status to "In Transit"

Step 5: Receiving & Inspection at Fulfillment Center

What Happens After You Ship

Days 1-3 (Transit): Your boxes are in transit to Walmart's fulfillment center.

Days 4-5 (Receiving Window): Your shipment arrives at the fulfillment center. Walmart:

  • Scans the inbound shipment ID
  • Verifies box count matches your shipping plan
  • Begins opening and inspecting boxes

Days 5-7 (Inspection & Counting): Walmart:

  • Inspects items for damage
  • Counts units (confirms qty matches your plan)
  • Scans barcodes to confirm product IDs
  • Photos any damaged items (if applicable)

Expected Timeline: Most shipments are fully received and counted within 2 business days of arrival.

Potential Issues During Receiving

Damaged Items:

  • Walmart documents damage with photos
  • You can dispute if damage is carrier's fault
  • Damaged items may be sent back to you or destroyed (you choose)

Barcode Issues:

  • If barcodes are unreadable, Walmart may flag items
  • Contact Seller Support to resolve (may need replacement labels)

Quantity Discrepancies:

  • If Walmart counts fewer items than you shipped, you're notified
  • Can file a carrier claim if it's a carrier loss

Wrong Items Shipped:

  • If you accidentally included items not on the shipping plan, they're rejected
  • You'll need to arrange return shipment

Step 6: Items Go Live & You Start Selling

Your Listings Are Now WFS

Once items are received and counted:

1. Your items automatically get:

  • "Fulfilled by Walmart" badge (increases buyer confidence)
  • 2-day shipping eligibility (in most markets)
  • Prime-like positioning in search results

2. Orders start flowing

When customers buy your items:

  • Walmart automatically picks and ships from the fulfillment center
  • You don't do anything
  • Tracking numbers are automatically sent to customers

3. You manage from Seller Center

  • Monitor inventory levels in your fulfillment center
  • View orders and fulfillment status
  • Receive customer messages through Walmart
  • Track your fees and earnings

Fees You'll Pay

WFS fees vary by category and weight. Example breakdown for a 2-lb item:

FeeAmount
Fulfillment Fee$3.00
Storage (if stocked >90 days)$0.50-$1.00/month
Handling/Oversize (if applicable)$0.00-$2.00
Total per order~$3.00-$5.00

You can estimate your fees using Walmart's WFS Fee Calculator (available in Seller Center and as an Ecom Circles extension tool).

Monitoring & Management After Launch

Key Metrics to Track

Inventory Turnover:

  • How fast are your items selling?
  • Adjust quantities based on sales velocity

Return Rate:

  • Higher than expected? May indicate product quality or listing accuracy issues

Storage Costs:

  • Items sitting unsold for 90+ days incur storage fees
  • Reprice aggressively or liquidate slow movers

Fulfillment Performance:

  • Walmart's systems track on-time delivery and accuracy
  • This affects your seller rating

Reordering Inventory

Once inventory sells down:

  1. Create a new shipping plan (same process as Step 2)
  2. Prepare next batch (same process as Step 3)
  3. Ship to fulfillment center (same process as Step 4)

Many sellers establish a monthly or quarterly shipment cadence.

WFS vs. Merchant Fulfilled vs. FBA: When to Use Each

MethodBest ForEffortCostSpeed
WFSBrand-name, high-volume itemsLow (offload to Walmart)2-5%2-day shipping badge
Merchant FulfilledNiche items, low volume, testingHigh (you ship everything)Lower fees, higher labor3-7 days typical
FBA (Amazon)Amazon ecosystem sellersLowHigher 2-15%+2-day eligible

Our recommendation: Start with Merchant Fulfilled to validate products. Once you're selling 50+ units/month, move to WFS for scale.

Pro Tips for WFS Success

  1. Calculate WFS fees before listing. Use the calculator to confirm profitability.
  2. Over-communicate with Walmart. If you notice receiving delays, reach out proactively.
  3. Avoid first-time shipment mistakes. Triple-check dimensions and barcodes before your first shipment.
  4. Monitor storage fees. Move slow inventory quickly or remove from WFS.
  5. Use repricing strategically. WFS items are eligible for faster shipping, so you can command higher prices.
